How to choose the best taxi service for business travel in Madrid: selection criteria
Licence, fixed price, hours, handling of arrivals, vehicles for teams and paperwork: the criteria worth checking before choosing a taxi for your company’s trips.

To choose the best taxi service for business travel in Madrid, check seven criteria: that they are official licensed taxis, that the price is fixed in advance, that there is a 24-hour service, that they offer several booking channels, that they handle airport pickups using the flight number, that they have vehicles for teams and that the payment method and paperwork fit your company. A slip-up in transferring an executive or a client costs more than the journey itself.
Why transport matters on a business trip
On a work trip, the journey between the airport and the meeting is the traveller’s first and last contact with the city. A delay, a confusing pickup at the terminal or an argument about the price affect the mood in which someone arrives at an important meeting, and the image of the company organising the trip. Choosing the right provider avoids those problems before they happen.
| Criterion | What to ask | Warning sign |
|---|---|---|
| Legality | Are they taxis with a municipal licence? | Unmarked vehicles or drivers offering the service inside the terminal |
| Price | Is the airport price fixed or metered? | Not being able to know the amount before the journey |
| Hours | Do they operate 24 hours, including bank holidays? | Office hours for an airport service |
| Bookings | Can you book online, by phone and in writing? | A single channel with no written confirmation |
| Arrivals | How do they handle pickups with a flight number and changes? | Not asking for the flight number |
| Teams | Do they have larger vehicles? | Always having to split the team across several cars |
| Payment | Can you pay in advance by card? What paperwork do they issue? | Cash only or no proof of payment |
The criteria in more detail
Licence and safety
An official Madrid taxi has a municipal licence, a visible licence number and the taxi insignia. If your travellers are arriving at Barajas, insist that they do not accept offers of transport inside the terminal itself.
A fixed, transparent price
For budgeting, a fixed fare is ideal: the amount does not change with traffic and is known when you book. That way a journey does not cost a different amount depending on the day, which is very useful for keeping spending under control.
Handling arrivals
The airport pickup is the most delicate moment. Ask how the terminal is confirmed, where the meeting point is and what happens if the flight is early or late. A good provider asks for the flight number and gives the traveller clear instructions.
Payment and paperwork
Check whether you can have the journey paid by card when booking and what receipt or invoice the provider can issue. We explain it in taxi invoicing and corporate accounts.
Taxi or VTC
Both can work; the difference lies in the licence, the regulation and how the price is set. We sum it up in the differences between taxis and VTC.
Typical scenarios and what to ask for in each
- An executive landing at T4 with a meeting on the Castellana. A pickup booked with the flight number and a fixed price to the office. If the meeting is in the financial district, you may be interested in from the airport to the heart of Madrid’s financial district.
- A team travelling to a trade fair. Larger vehicles and a single pickup for everyone; there are ideas in our guide to taxis between IFEMA and the airport.
- An international visit. Written confirmation forwarded to the traveller with the meeting point and a contact phone number.
- A same-day return trip. Both journeys booked in advance so no time is lost between meetings.
One-off bookings or an ongoing relationship
If the company travels little, booking each journey when needed is enough. If trips are frequent, it is worth always working with the same provider: they get to know your usual addresses and the booking process becomes routine.
How we meet these criteria
We are a service of official taxis licensed by Madrid City Council between Barajas Airport and Madrid or any town in the region: we operate 24 hours a day, apply a fixed fare by area (€33 from inside the M-30, the rest in our fares by area), take bookings online, by phone or on WhatsApp, confirm the airport pickup with the flight number, have vehicles with up to 7 seats and accept online card payment or payment to the driver.
